Straight answers about daily records, California infant sleep checks, signatures, exports, and billing. TOTS helps you keep a record of checks you perform. Use this page alongside your program's procedures and the rules that apply to your care setting.

Records, regulations, and subscriptions
Is my child care data private?
Records are kept behind your signed-in account and TOTS does not sell child care records or use them for advertising. No online service can promise absolute security, so protect account passwords and device access.
Do I still need paper sleep logs?
TOTS supports your documentation, but it does not replace required physical observations. Whether you also keep paper copies depends on your licensing rules and program procedures; you can save or print PDF copies when needed. Title 22 requires the check documentation to be maintained in the infant's file and available to the Department for review (22 CCR § 102425(j)(2)(D); § 101429(a)(2)(C)); confirm with Community Care Licensing how your records should be kept.
What happens if I lose internet access?
A connection is required to record a sleep check because TOTS shows it as complete only after the server confirms the save. If your connection drops, reconnect and confirm the check appears and the status says “Synced” before relying on the record.
Can an inspector sign in and see my records?
There is no separate inspector portal. You control access to your account and can show the daily log or prepare a PDF for review.
How do I get my records out of TOTS?
Use Download PDF for a day or date range. Account owners and authorized administrators can also download a facility backup ZIP from the Account page; automatic email archives are not live yet.
Does TOTS replace physical sleep checks?
No. TOTS is a recordkeeping tool. Family child care home providers must physically check sleeping infants every 15 minutes under 22 CCR § 102425(j)(1). Infant care center staff must physically check sleeping infants every 15 minutes under 22 CCR § 101429(a)(2)(B). Center rules also require direct observation by sight and sound at all times under 22 CCR § 101429(a)(2). Recording a check in TOTS does not perform that observation or replace supervision.
Is TOTS approved by Community Care Licensing?
No. TOTS is a recordkeeping tool made to help providers document checks they perform. It does not provide licensing approval or promise an inspection outcome. You and your staff remain responsible for care, supervision, and the accuracy of each entry. Use the regulation reference to understand the documentation rules, then confirm current requirements and your program's procedures with Community Care Licensing.
What must a 15-minute sleep-check record include?
For family child care homes, documentation must include the date, infant's name, and time of each 15-minute check. It must be maintained in the infant's file and available to the Department for review: 22 CCR § 102425(j)(2)(D). Infant care centers must include those same fields plus the initials of the staff person who conducted each check: 22 CCR § 101429(a)(2)(C). A blank template is a starting point; complete it with the actual checks and observations you make.
What observations must I document?
For family child care homes, document labored breathing; signs of distress, including flushed skin color, increased body temperature, and restlessness; and infants up to 12 months sleeping in a position other than on their back: 22 CCR § 102425(j)(2)(A), (B), and (C). Infant care centers have the corresponding documentation requirements in 22 CCR § 101429(a)(2)(B). These observations concern the infant you physically check. A saved signature or scheduled nap window is not an observation of breathing, distress, or sleep position.
Can I print records for an inspection?
Yes. Switch the logger to the room you need, then choose Download PDF; the report covers the room currently open. Choose a day or date range and generate the report from saved facility records. The report includes recorded check times, signer information, notes, and the visible correction or void history. You can save a PDF or print the report for review. Check the dates before sharing it. TOTS provides the records; it does not guarantee that a licensing review or inspection will have a particular outcome.
What happens if my subscription lapses?
Your account becomes read-only and keeps every record. You can still view records, download reports, and export them, but you need active access to resume recording checks. The same read-only approach applies when the trial ends without an active subscription. Visit billing in your Account area to choose a plan or address a subscription that needs attention. Losing paid access does not turn a past check into an editable record or erase its history.
How are the plans priced?
Plans are based on the number of independent rooms you use, never on facility type or child count. Single-Room is one independent sleep logger at $9.99 per month or $99 per year. Multi-Room provides multiple independent room loggers at $19.99 per month or $199 per year. A room has its own active child roster and daily log. Do I need a credit card for the trial, and can I cancel?
The 30-day free trial does not require a credit card. Create an account to try the daily log, provider signatures, and reports. If you choose a paid subscription, you can cancel anytime through the billing portal reached from Manage billing in your Account area. Monthly and annual options are available for both plans. Keep a copy of any reports you want for your own files; viewing and exports remain available when the account becomes read-only.
Can I edit or delete a mistaken sleep check?
Saved check records are append-only: they are never edited or deleted. A mistaken check is voided with a separate record, leaving a visible trail of the original check and its removal. The report includes that history. Review the child, date, time, and signer before recording a check. If you need to correct a mistake, use the logger's removal process rather than treating the original entry as though it never happened.
Does the blue nap window mean a check is recorded?
No. Pale blue marks a saved nap window as a rough visual guide. It is separate from the completed check and signature shown after a check has been saved. A scheduled nap does not fill the grid with physical observations. Make the observation, record the check for the correct child and time, and confirm it was saved.
