OUR PRIVACY PROMISE

TOTS Sleep Log does not sell, rent, trade, or give personal information or childcare records to advertisers, data brokers, marketing companies, or other businesses for their own use. We do not use children’s information for advertising, targeted marketing, or profiling.

We at Dongato Systems, LLC have designed TOTS Sleep Log to help childcare providers document required sleep checks without turning private childcare records into a product. This Privacy Policy explains what information we collect, why we collect it, how we use it, when it may be shared, and the choices available to account holders.

In this Privacy Policy, “TOTS,” “we,” “us,” and “our” mean Dongato Systems, LLC. “Service” means the TOTS Sleep Log website, application, and related services. “User,” “you,” and “your” mean the childcare provider, facility owner, administrator, employee, or other authorized adult using the Service.

Information We Collect

We collect information that you provide when you create and manage an account. This may include the account holder’s name, email address, facility name, owner or administrator name, phone number, time zone, login information, and account settings.

The Service also stores information that authorized users enter for childcare documentation. This may include children’s names or nicknames, birth dates when provided, nap schedules, sleep-check entries, notes, staff names, staff signatures, and the dates and times connected to those records.

When you purchase a subscription, payment information is processed by a third-party payment provider. TOTS does not store complete credit-card numbers. We may receive limited billing information, such as subscription status, payment status, billing dates, and the last four digits or type of the payment method.

We may automatically collect limited technical information when the Service is used, including browser and device type, IP address, login activity, security events, error logs, and general usage or performance information.

How We Use Information

We use information to provide and maintain the Service, authenticate users, create and store childcare documentation, generate reports and downloadable records, manage subscriptions, respond to support requests, send service-related notices, protect the security and reliability of the Service, diagnose problems, improve features, and comply with legal obligations.

We do not use children’s records to build advertising profiles. We do not sell or share personal information for cross-context behavioral advertising, targeted advertising, or unrelated marketing.

Children’s Information

TOTS Sleep Log is designed for adult childcare providers and is not intended for direct use by children. Children may not create accounts or directly submit information through the Service.

Child information is entered by authorized adults for childcare recordkeeping and compliance purposes. The childcare provider or facility is responsible for having the authority, consent, and legal basis required to collect, enter, and maintain that information.

Users should enter only the information reasonably needed for sleep-check documentation. The Service is not intended to store Social Security numbers, government identification numbers, complete payment-card information, or detailed medical records.

How Information May Be Shared

We may provide limited information to trusted service providers that help us operate the Service, such as hosting, database, authentication, payment, email, security, technical-support, and customer-support providers. These providers may access information only as reasonably necessary to perform services for us and are expected to protect it.

We may also disclose information when we reasonably believe disclosure is necessary to comply with law, regulation, legal process, or a valid governmental request; investigate fraud, misuse, or security concerns; enforce our Terms of Service; respond to a support request; or protect the rights, safety, and property of TOTS, our users, children, or others.

If Dongato Systems, LLC is involved in a merger, financing, acquisition, reorganization, sale of assets, or transfer of the business, information may be transferred as part of that transaction. Any successor would remain subject to applicable privacy obligations.

We do not sell, rent, trade, or give personal information or childcare records to advertisers, data brokers, marketing companies, or unrelated businesses for their own use.

Data Storage and Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, authentication, secure hosting, monitoring, and other measures appropriate to the nature of the Service.

No internet service, device, transmission, or storage system can be guaranteed to be completely secure. Users are responsible for protecting passwords, controlling access to their accounts and devices, promptly removing former staff access, and notifying us of suspected unauthorized access.

Record Retention

We retain information for as long as reasonably necessary to provide the Service, maintain records requested by the account holder, meet legitimate business needs, resolve disputes, protect security, and comply with legal obligations.

Childcare records may remain available while an account is active. Records for children who no longer require sleep checks may remain stored for up to five years to support recordkeeping needs, unless a different period is required by law, selected by the account holder, or established in the Service.

Account, billing, security, and legal records may be retained for different periods when reasonably necessary. When information is no longer needed, we may delete, de-identify, or securely dispose of it.

Downloads, Exports, and Backups

The Service may allow users to download or export records. These tools are provided for convenience and do not replace the provider’s responsibility to review records, keep any legally required copies, and maintain appropriate backups.

Once records are downloaded, emailed, printed, or stored outside the Service, the account holder is responsible for protecting those copies.

Cookies and Similar Technologies

TOTS may use cookies and similar technologies that are necessary to keep users signed in, remember settings, maintain security, prevent fraud, understand performance, and diagnose technical problems.

We do not use children’s records for behavioral advertising. If we later add optional analytics or other technologies that materially change our practices, we will update this Privacy Policy and provide any notice or choice required by law.

Your Choices and Requests

Account holders may update certain account information through the Service. They may also ask to review or correct account information, request available exports, request account closure or deletion, or ask questions about how information is handled.

Some information may remain after a deletion or closure request when retention is reasonably necessary for legal obligations, billing, security, fraud prevention, dispute resolution, or childcare recordkeeping. We may need to verify the requester’s identity and authority before completing a privacy request.

California Privacy Rights

California residents may have rights under applicable law to request information about certain personal information, request correction or deletion, and receive equal service when exercising privacy rights. The specific rights available depend on the law that applies to Dongato Systems, LLC and the nature of the request.

TOTS does not sell personal information and does not share personal information for cross-context behavioral advertising. We will respond to verified privacy requests as required by applicable law.

Third-Party Services and Links

The Service may rely on or link to third-party services. Information handled directly by a third party is subject to that party’s own privacy policy and terms. We are not responsible for the privacy, security, availability, or content of services we do not control.

Changes to This Privacy Policy

We may update this Privacy Policy as the Service, our business, or applicable requirements change. The updated policy will be posted with a revised effective date. When changes are material, we may also provide notice through the Service or by email.
